Travel to and from the Zero Project Conference 2025 is the sole responsibility of each individual attendant. The Zero Project provides information and useful links in these answers, however, claims no responsibility to the accuracy and content that has been derived from third parties, external links, websites, homepages, documents, and regulatory notes. YOUR TRAVEL TO VIENNA
Addressing visa requirements, travel support, and hotel recommendations.
Please note Citizens of:

EU member states;
-
the European Economic Area (EEA);
-
and Switzerland do not need a visa for entering the Republic of Austria.
Nationals of those states for which the visa requirement has been lifted by means of an EU regulation are entitled to visa-free entry to Austria for a maximum of 90 days.

Yes, please send a request to office@zeroproject.org with the subject line: “#ZeroCon25: Visa invitation letter”.
The Zero Project issues visa support letters upon request. The participant themselves are then responsible to issue and process their visa application with the respective Austrian consulate/Embassy in their origin country.
Please note that the Essl Foundation is a private foundation that covers all cost of the conference itself, including various accessibility measures and conference catering. This means that the Essl Foundation has only a very limited budget when it comes to sponsoring travel cost, which is geared towards supporting the Zero Project Awardees 2025 from non-OECD countries who represent an NGO.

REGISTRATION FOR ON-SITE PARTICIPATION
Please note: The Zero Project Conference is an invitation-only event. This FAQ section relates to registration for participation on site, at the United Nations Office at Vienna.
Yes, you will receive a separate email from the United Nations Office at Vienna in which you will be asked to upload a photo for your United Nations Ground Pass, if it's you're first time attending. This ground pass will allow you to enter the UN facilities in Vienna from Wednesday, March 5, 2025, to Friday, March 7, 2025.
If you have completed your registration on the conference platform, but have not received a United Nations Ground Pass email (check your email spam folder as well) by Friday, February 28, 2025, please reach out to the Zero Project office inbox – office@zeroproject.org. "
Participation to the Zero Project Conference 2025 is limited to two participants per organisation. If you would like to request an exemption to this rule, please send us a request stating your claim to: office@zeroproject.org.
If you have diplomatic accreditation to the United Nations Office at Vienna, that entitles you to enter the Vienna International Centre, you will not need to register for a United Nations ground pass separately. Nevertheless, you will still need to register for the Zero Project Conference 2025 on the conference platform: zerocon25.zeroproject.org. If you have any questions, please reach out to office@zeroproject.org.
ACCESSIBILITY AND PARTICIPATION AT THE CONFERENCE
Please note: The Zero Project Conference is an invitation-only event.
Information:

Zero Project Team members and volunteers are available to offer additional support to individual participants.

The accessibility features available in each conference session will be marked on the agenda.

A large print version of the conference agenda will be available at the registration desk.

Portable induction loops will be available from the registration desk.

An accessible video showing all accessibility features will be made available prior to and during the conference.
Navigation:

Tactile flooring is placed throughout the conference building to aid navigation to key areas.

Large print signs and floor plans are placed throughout the venue to support navigation.

Small printed floor plans and agenda overviews will be available at the reception desk.
Sessions:

All sessions in all five conference facilities will have live captioning in English.

International Sign interpretation will be available in most sessions.

Individual headsets in each conference room offer amplification of speakers on stage.

Graphic facilitation will be available in several sessions to provide visual summaries of presentations.

There will be an accessible livestream of the Opening and Award Ceremonies, and the Fireside Chats.

Most other sessions can be viewed remotely via YouTube after the conference; the on-demand videos will also have International Sign interpretation. Captioning is provided in over 300 languages through the accessibility features on YouTube.
Presentations:

Instructions on creating an accessible presentations are sent to all presenters and dedicated Zero Project team members review presentations.

Audio description will be available for select videos submitted to the Zero Project Team ahead of the Conference.

Presenters are requested to include captioning in English for all videos shown during presentations.
Other:
- A Quiet Room will be available in proximity to the conference rooms.

The #ZeroCon25 conference platform (zerocon25.zeroproject.org) is your one-stop-shop for all information. It's accessible, web-based, compatible for mobile devices and personal computers, and therefore no application needs to be downloaded.
Please note that the full Agenda will be shared exclusively on the #ZeroCon25 conference platform. The platform also offers the networking opportunities, information about the Zero Project Awardees and conference exhibition, and other event information.
Follow the Zero Project on various social media platforms for highlights and updates on the Zero Project Conference, using the hashtag #ZeroCon25.
There is no need to register for individual sessions. However, you need to complete your registration for #ZeroCon25 on the conference platform (zerocon25.zeroproject.org) and with the UN. For details see the FAQ section "REGISTRATION FOR ON-SITE PARTICIPATION".
Note that many sessions are also live-streamed: anyone can watch online for free without registering.
Each participant will receive a daily voucher for a cold lunch, (sandwich/still water). In addition, freshly brewed coffee and tea will be available throughout the conference. Pastries, soft drinks, and snacks will be available for purchase as well.
Vegetarian options will be available throughout #ZeroCon25, however, the Zero Project will not be able to consider and accommodate individual dietary restrictions beyond that. Thank you for your understanding.

The Zero Project Conference 2025 will take place at the United Nations Office at Vienna. It is part of the "Vienna International Centre (VIC)".

How to reach the Vienna International Centre by Underground/Subway:

From Vienna city centre (eg Stephansplatz), take the red U1 "U-Bahn" underground/subway line in the direction Leopoldau.

Get off at the stop "Kaisermühlen/Vienna International Centre".

Exit at the front of the train and proceed to the VIC main entrance (Gate 1) directly next to the station.

Ground passes can already be picked up on Tuesday, the day before the conference (hours TBC). Picking it up on Tuesday reduces the waiting time on the first day of the conference.

NAVIGATING THE ONLINE CONFERENCE PLATFORM
The #ZeroCon25 conference platform (zerocon25.zeroproject.org) is your one-stop-shop for all information.
On the #ZeroCon25 conference platform, navigate to the Log in button in the upper right corner of the event navigation.
Under the Email and Password field, click the Forgot password? link, enter your email address, and then click the Send reset link. You will then receive an email with a Reset password button. Clicking the button in the email will redirect you to the password setup screen.
Type in your new password in the New password and Confirm password fields. We recommend that you create a secure password with upper and lower case letters, at least one number, and special characters to ensure the security of your account. Afterwards, click on the Reset password and log in button.

The first step to changing your password is clicking on your avatar in the upper right corner of the event website navigation. From the drop-down menu, choose Account settings. You can change your password in the Password section.
In the first field of the Password section, type in your current password. After this, enter the new password in the New password field. We recommend that you create a secure password with upper and lower case letters, at least one number, and special characters to ensure the security of your account.
Once you have created and entered the new password, type it again in the "Confirm password" field. Once you have entered and confirmed your new password, click on "Change password" to automatically update your password.

The first step to changing your email address is locating your avatar in the upper right corner of the event website navigation. From the drop-down menu choose "Account settings". You can change your email address in the Email Address section.
In the Email Address field enter the new email address you want to associate with your conference profile.
Once you enter the new email address, click on the "Update email address" button. However, this doesn't automatically update your email address. You will receive an email to the new email address with a link to verify the new address. After you click on the link, the address will be successfully updated.

If you see a badge saying "Activation pending" when you log in, it means that the Zero Project has not confirmed your registration yet. The activation can take up to a week.
If you believe your profile should have been confirmed already, please let the organiser know at office@zeroproject.org.
